How it works

15 minutes to set up.
A lifetime of value.

Calso builds a comprehensive knowledge base unique to your venue through a smart four-stage onboarding process. No technical skills. No manual data entry. Just a conversation.

STAGE 01

We scan your venue

Drop in your website URL and Google Maps link. Calso automatically scrapes everything public about your venue: your name, services, menu items, pricing, location, opening hours, customer reviews, staff details, and contact information.

But we don't just collect data. We understand it. Calso reads between the lines: what dishes customers rave about, what they complain about, when you're busiest, what competitors charge, what dietary needs are trending in your reviews.

In seconds, Calso knows more about your venue than most new employees learn in their first week. It's not just scanning. It's thinking.

STAGE 02

Connect your private data

Connect Google Drive, Gmail, Dropbox, or simply drag and drop files. Calso processes everything it finds: invoices, contracts, supplier lists, staff rosters, marketing plans, email archives, loyalty data. It summarises each file in plain English and presents a clean list for you to review.

You toggle on what you want included and nothing else is touched. Full control, full transparency, full privacy.

The more you share, the smarter Calso gets. But you're never required to share anything. Start with just invoices and add more later as you build trust.

What Calso learns from each file type

Invoices

Your supplier costs and payment terms. Seasonal price fluctuations. Which items you order weekly vs monthly. Your payment history and preferred vendors.

Rosters

Your staffing patterns. Who works which shifts. Hourly rates and labor costs. Peak staffing needs vs quiet periods. Preferred staff pairings.

Email

How you communicate with suppliers (formal vs casual). Your negotiation style. Recurring issues and how you resolve them. Relationships with key contacts.

Contracts

Your negotiated rates. Minimum order quantities. Delivery schedules. Payment terms. Special arrangements or discounts you've secured.

Menu costing

Your profit margins per item. Which dishes are most profitable. Ingredient costs and waste patterns. Price sensitivity and markup strategies.

Loyalty data

Your most valuable customers. What they order most often. How often they visit. Their spending patterns. Who responds to promotions.

STAGE 03

A quick AI interview

Calso analyses everything it's collected, identifies what's missing, and generates a custom set of questions specific to your venue. Then it invites you to sit down for a 10–15 minute voice conversation.

Do it in the car, at the gym, on a walk. Wherever suits you. The AI references what it already knows to ask smart, targeted questions. It doesn't ask about things it can already see in your files. It asks about the context — your preferences, your relationships, your judgment calls, your growth goals.

The conversation feels natural. Calso remembers what you said three questions ago and builds on it. It asks follow-up questions when you mention something interesting. It clarifies when something doesn't make sense.

By the end, it knows your venue inside and out. Not just the numbers, but the nuance. After that? It starts working. No training period. No onboarding docs. It just acts.

AI Interview8 of 12 questions
CalsoI can see your chocolate cake is listed as a customer favourite on your menu. How often do you typically reorder ingredients for that, and who's your usual supplier?
YouWe make it in-house, so I order the chocolate from Sweet Earth every two weeks. About 10kg each time.
CalsoGot it. Sweet Earth, 10kg chocolate, fortnightly. What about the other baking ingredients: flour, sugar, butter? Same supplier or different?
YouFlour and sugar come from Metro Wholesale, butter from the same dairy that does our milk, Metro Dairy.
CalsoPerfect. I noticed in your reviews that customers sometimes complain about wait times on weekends. Have you thought about how you'd like to handle that: more staff, table management, or just set expectations?
YouYeah, it's tricky. We can't really fit more tables, and hiring more weekend staff is expensive. I think we just need to be honest with people, tell them it's a 20-minute wait instead of letting them sit down and get frustrated.
CalsoSo you'd prefer to manage expectations upfront rather than rush service. That makes sense. When a customer calls to ask about wait times on a busy Saturday morning, would you want me to give them an honest estimate and maybe suggest a quieter time?
YouExactly. And if they're flexible, maybe suggest coming at 7am or after 11:30am when it's quieter.
CalsoGot it. Last question on this topic: if you're running low on a popular item like the banana bread, would you want me to alert you immediately, or would you prefer I just go ahead and order the usual amount from your regular supplier?
YouIf it's a regular supplier and a usual order, just go ahead. But if it's a new supplier or a bigger order than normal, check with me first.

STAGE 04

Your first week

Setup is done in 15 minutes. But Calso doesn't just start acting immediately — it eases in gradually, building trust through transparency and asking for approval before taking any meaningful action.

Day 1Observing & Learning

Calso watches your operations without taking action. It monitors incoming emails, tracks supplier patterns, notes customer inquiries, and identifies recurring tasks. You won't even notice it's there. It's just learning your rhythm.

Day 2–3First Automated Actions (With Approval)

Calso identifies simple, low-risk tasks it could handle and asks for your approval before acting. Examples: responding to a routine supplier confirmation email, updating a customer on order status, scheduling a regular delivery. Each action comes with a notification showing what it did and why.

Day 4–5Handling Routine Tasks Independently

With your approval on a few early actions, Calso starts handling similar tasks automatically. Reordering regular stock from approved suppliers. Responding to common customer questions. Confirming delivery times. Updating staff on schedule changes. You can still review everything it does in the daily log.

Day 7Weekly Report: What Was Done & Money Saved

Calso sends you a summary: 23 tasks completed automatically. 4.5 hours of your time saved. $340 saved by catching a duplicate invoice. 3 supplier orders placed on schedule. 12 customer inquiries handled. 1 issue flagged for your attention. This becomes your weekly rhythm.

Continuous improvement

What Calso learns over time

Calso doesn't stay static. Every interaction, every decision you make, every pattern in your venue. It all feeds back into the system. The AI gets smarter, more capable, more trusted.

Month 1

Learning Your Basics

  • Knows your regular suppliers and reorder quantities
  • Handles routine customer questions (hours, menu, bookings)
  • Tracks inventory levels and alerts you to low stock
  • Sends weekly summaries of what it did
  • Asks for approval before any non-routine action
Month 3

Understanding Your Patterns

  • Predicts when you'll run out of ingredients based on seasonal demand
  • Notices when a supplier's prices increase and flags better alternatives
  • Identifies your most profitable menu items and suggests highlighting them
  • Learns which staff work best together and optimizes roster recommendations
  • Spots unusual spending patterns and alerts you to potential issues
  • Handles 80% of routine supplier communication without your input
Month 6

Acting Like a Business Partner

  • Proactively negotiates with suppliers when contracts are up for renewal
  • Suggests menu changes based on ingredient cost trends and customer feedback
  • Identifies revenue opportunities (new catering clients, underutilized time slots)
  • Predicts cash flow issues weeks in advance and suggests solutions
  • Handles staffing conflicts and shift swaps based on your past decisions
  • Drafts marketing campaigns that match your brand voice and past successes
  • Runs 'what-if' scenarios: 'If we raised brunch prices by $2, here's the likely impact'

The longer you use Calso, the more it becomes an extension of you, making decisions the way you would, communicating in your voice, anticipating your needs before you articulate them.

Voice first

Talk. Don't type.

Venue owners are busy. You're rushing between suppliers at 5:30am, managing staff on the floor during the breakfast rush, prepping for the lunch service, closing down at night. You don't have time to sit at a desk and manage every moving part.

Calso puts a fully briefed, highly capable assistant in your ear. One that already knows your regulars by name, knows your suppliers, knows your pricing, knows your schedule, knows your tone, and can act on your behalf instantly when asked.

Order the usual beans from the supplier.

Calso knows exactly who that supplier is, what the usual order quantity is, and makes the phone call or sends the email itself.

How much did I spend on dairy last month?

Calso pulls up your invoice history, calculates the total, and breaks it down by supplier. All in 3 seconds.

Can I afford to hire another weekend barista?

Calso analyzes your current labor costs, weekend revenue, and cash flow projections to give you a clear answer with numbers.

Remind me to check the oven filter next Tuesday.

Calso sets a reminder and pings you at the right time. No app to open, no task list to maintain.

Who's working Saturday morning?

Calso reads your roster and tells you who's on shift, along with their roles and hours.

Tell me if we're low on anything.

Calso scans your inventory levels based on recent usage patterns and flags items that need reordering soon.

No typing. No opening apps. No context switching. Just talking, like you would to a real assistant who's been working with you for years.

You can run your entire venue from your pocket, or from the car, the gym, the walk home, wherever you are.

Questions

Frequently Asked Questions

How long does setup really take?

15 minutes for the initial setup (URL input, file upload, AI interview). Day 1 is observation only. By Day 2–3, Calso starts handling simple tasks with your approval. By Week 2, it's handling routine operations independently.

What if I don't have a website?

Not a problem. Calso can work with just your Google Maps listing, social media pages, or even start entirely from your private files and the AI interview. You'll miss some of the automated public data scraping, but the core system works fine without a website.

Can I undo actions Calso takes?

Yes. Every action Calso takes is logged in a daily summary. If it places an order, sends an email, or makes a decision you don't like, you can undo it or mark it as 'don't do this again.' Calso learns from corrections and won't repeat the same mistake.

What happens if I change suppliers?

Just tell Calso (via voice or text), and it updates its records immediately. You can say 'We're switching from Metro Dairy to Green Valley Dairy for all milk orders starting next Monday,' and Calso handles the transition, updating invoices, contacts, and reorder patterns.

What if Calso doesn't know how to handle something?

It asks. If Calso encounters a situation it hasn't seen before or isn't confident about, it flags you for input. You make the call, and Calso remembers your decision for next time. Over time, the number of questions decreases as it learns your preferences.

Can I control what Calso is allowed to do?

Absolutely. You set permissions at setup: what it can do automatically (e.g., reorder regular stock), what requires approval (e.g., spend over $500), and what it should never touch (e.g., staff contracts). You can change these settings anytime.

How much does it cost?

We're not publicly sharing pricing yet. Early access members will get locked-in rates significantly below standard pricing. If you're on the waitlist, you'll hear about pricing before you commit to anything.

Is my data secure?

Yes. All data is encrypted in transit and at rest. Calso never shares your data with third parties. You can delete your entire knowledge base anytime. See our Security page for full details.
