The short version

Six things you should know.

We never ask for your passwords. Not your bank login, not your email password, not your POS system credentials. Ever.

Calso only knows what you tell it. If you upload an invoice, it reads that invoice. If you don't upload something, Calso has no idea it exists.

Your information is never shared with anyone. Not other businesses, not advertisers, not data brokers. It's yours and only yours.

Even the people who built Calso cannot access your venue data. The system is designed so that no human on our team can read your files, invoices, or conversations.

The AI uses your data as a private knowledge base to help run your venue. That's it. It doesn't learn from your data to help other businesses. It doesn't feed into a shared model.

You're always in control. You can see what Calso knows, delete anything you want, turn features on and off, and shut the whole thing down at any point.

Credentials & access

We never ask for your passwords.

This is worth repeating because it's one of the biggest concerns we hear. Calso does not need your login credentials for anything. Not your bank, not your email, not your POS system, not your social media. Here's how it actually works:

How you give Calso information

Upload files directly

You drag and drop invoices, menus, contracts, rosters. You choose exactly which files.

Connect accounts with OAuth

If you connect Gmail or Google Drive, you authorise access through Google's own login screen. We never see your password.

Talk to it

You tell Calso things in conversation. "Our rosemary focaccia costs $8.50." It remembers what you say.

Public website scraping

During setup, Calso reads your website and Google Maps listing, which is information that's already public.

What Calso never asks for

Bank account credentials

We don't process payments or access banking systems. We just help you track what invoices say.

Email passwords

If you connect email, it's through Google/Microsoft's secure OAuth flow. Your password stays with them.

POS system logins

Calso doesn't connect to Square, Lightspeed, or any POS. You upload export files if you choose to.

Social media passwords

No access to your Instagram, Facebook, or any social accounts.

How the AI uses your data

A private knowledge base. Nothing more.

When you give Calso your supplier invoices, your weekly roster, your menu, it stores all of that in a private knowledge base that belongs exclusively to your venue. Think of it like a digital filing cabinet that only your AI assistant can open, and only to help you.

What the AI does with your data

Remembers your supplier names, prices, and order history so it can reorder for you

Knows your menu items, ingredients, and pricing so it can answer customer questions

Understands your staff schedule so it can help with rostering conflicts

Tracks your expenses over time so it can flag unusual costs

Learns your preferences: how you like emails written, which suppliers you prefer, your communication style

What the AI never does with your data

Never feeds it into a shared AI model that other businesses use

Never uses it to "improve" the product for other customers

Never sells it, shares it, or makes it available to third parties

Never uses it for advertising, marketing research, or profiling

Never combines it with other venues' data for any purpose

Internal access

Even we can't see your data.

This is the part people find hardest to believe, so let us be specific.

The team that built Calso (the developers, the designers, everyone) does not have access to your files, your conversations, your invoices, your staff details, or anything else you put into the system. We designed it that way on purpose.

We can see anonymised usage data: things like "a venue in Melbourne uploaded 3 files today" or "the average response time is 2.1 seconds." This helps us make the product better. But we cannot see what those files contain, what those conversations said, or who the venue is.

If something goes wrong and we need to investigate a technical issue, we would contact you first and ask for permission to look at specific data. We don't have a backdoor. We don't have a master key. The data is yours.

Your controls

Fully manageable. Fully controllable.

Calso isn't a black box. You decide what it knows, what it can do, and how much autonomy it has. You can change any of these settings at any time.

See everything Calso knows

Your dashboard shows every piece of data Calso has about your venue. Every file, every conversation, every action it's taken. Nothing is hidden.

Turn anything on or off

Don't want Calso reading your emails? Turn it off. Want to disable voice calls? One toggle. Every feature and data source can be individually controlled.

Delete anything, instantly

Delete a single file, an entire category, or your whole account. When you delete something, it's gone. Not archived, not backed up somewhere. Gone.

Export your data anytime

Download everything Calso knows in standard formats. You're never locked in. If you leave, you take everything with you.

Review before it acts

You can set Calso to ask for your approval before sending emails, making calls, or placing orders. Or let it act independently. It's your choice.

Control team access

If you have staff using Calso, you decide who can see what. Your head chef might need supplier info. Your front-of-house manager might not.

What happens if I want to stop using Calso?

You export your data (one click), then delete your account. Within 30 days, everything is permanently wiped from our servers. We keep nothing. You owe nothing.

What happens if Calso gets hacked?

Each venue's data is isolated and encrypted separately. A breach of one account cannot expose another's data. We use industry-standard encryption for data at rest and in transit. If a breach ever occurred, we would notify affected users immediately. Not months later, not quietly. Immediately.

What happens if Calso shuts down?

You'd get advance notice and full access to export all your data. Your venue data is in standard formats, so it wouldn't be trapped in a proprietary system you can't open.

What happens if the AI makes a mistake?

Every action Calso takes is logged. You can review what it did, undo it where possible, and adjust its behaviour so it doesn't repeat the mistake. You can also set it to always ask before acting.

What happens if I upload something by accident?

Delete it. The file and any knowledge Calso extracted from it are removed immediately. It's like it was never there.

Does Calso train its AI on my data?

No. Your data is used only to build your private knowledge base, the thing that makes Calso useful specifically for your venue. It's never mixed with other venues' data and never used to improve a shared AI model.

Can Calso access my bank account or make payments?

No. Calso never touches your banking or financial systems. It can read invoices you upload to help you track costs, but it cannot access bank accounts, process payments, or move money. All financial transactions are always done by you.

Is my voice data safe if I use the voice feature?

Voice cloning is completely optional. If you choose to use it, your voice model is stored separately and encrypted. You can delete it at any time. It's never shared with anyone or used for anything other than making calls on your behalf.

Who at Calso can read my conversations with the AI?

Nobody. The Calso team does not have access to your conversations, your files, or any venue-specific data. We can only see anonymised system metrics like response times and error rates.

What if I only want Calso to handle some things but not others?

That's exactly how it works. Every feature is a toggle. You might want Calso handling supplier emails but not making phone calls. Or tracking invoices but not managing your roster. You decide, and you can change your mind at any time.
